1. Preparing your abstracts and manuscripts

- Abstract:

ICEC28-ICMC 2022 will include oral and poster presentations on various topics related to cryogenic engineering and materials. Authors willing to present a paper should submit an abstract in English, up to one page via the submission system using the abstract template.

The abstract submission has been closed.

- Manuscript:

The accepted manuscripts presented at the conference will be published in the Proceedings of the 28th International Cryogenic Engineering Conference and International Cryogenic Materials Conference 2022 - ICEC28-ICMC 2022, Hangzhou, China, 2022, in collaboration with Springer Nature and Zhejiang University Press.

Authors should prepare their manuscripts using the Microsoft Word template or LaTeX template. The manuscript submission should be completed before the deadline via the conference submission system. It is important to ensure that when you submit your manuscript, it is in its final form and has been thoroughly proofread.

There is a limit of 7 pages for oral and poster submissions, 9 pages for invited talks and 15 pages for plenary talks.

The deadline for submitting full manuscripts is 10 May, 2022.

2. Important information for presenters

·        All the oral and poster presentations must be presented in English.

·        The sessions are handled as they would be at an in-person conference. Each oral and poster presenter is requested to be present during their assigned time slot:

- Contributed and invited presentations (20 minutes allocated time slot): 14-16 minutes in length, leave 4-6 minutes for Q&A.

- Plenary presentations (60 minutes allocated time slot): 45-50 minutes in length, leave 10-15 minutes for Q&A.

·        Format requirement:

- For oral presentationPrepare your slides in 16:9 PowerPoint (.pptx) or PDF format. You are requested to submit a recorded backup presentation video together with the slides for online live presentation (The detailed instruction is given below).

For poster presentationPrepare your 1-page poster in landscape PDF format, and the suggested resolution is 1920×1080.

·        Submitting instruction:

- When uploading your presentation files, the file name must include your designated presentation ID, your First and Last name, and type (‘Slides’, ‘Video’, or ‘Poster’). Examples:

‘O1-A01-1234_PresenterFirst-LastName_Slides.pptx (or .pdf)’

‘O1-A01-1234_PresenterFirst-LastName_Video.mp4’

‘P1-A01-2345_PresenterFirst-LastName_Poster.pdf’

- Presenting authors will be notified before Friday, April 1, 2022 with information on where to submit the presentation files. If you did not receive your notification by then, please contact the Organizing Committee.

- Presenters are required to upload their presentations materials (slides & video, or poster) by Friday, April 15, 2022. Authors who are not permitted by their employer to upload their presentation in advance must contact the Organizing Committee no later than Friday, April 8, to advise.

3. Preparing an oral presentation

·        Recommended format for the slides is 16:9 PowerPoint (.pptx) or PDF format. The slides must correspond to the title and content of the abstract you submitted. Presentation files will be checked for content and length.

·        There will be no rearrangement of papers within an oral session to accommodate absences or cancellations. The time assigned to an oral presentation within the oral session is fixed.

·        Presentation at ICEC28-ICMC 2022 is required for a paper to be considered for peer review. If the presentation was not given during its scheduled time, the paper written from its presentation will not be considered for publication.

·        All oral presentations should be presented live through the meeting platform. In case of any internet disconnection, the authors of oral presentations are requested to record your presentation and submit the video file as a backup solution, which will be played if the presenter is disconnected.

·        Required format for video recording:

- Aspect ratio: 16:9

- Minimum Horizontal Resolution: 720 pixels

- Video file format: recommended mp4 but mpeg, mpg, mov, avi are also acceptable

- File size: < 300 MB for contributed and invited presentations

·        Suggested tips for video recording:

- At the beginning of your presentation recording, please introduce yourself, your group, and the title of your talk.

- Videos should contain a prominent view of the presentation slides along with audio of the spoken presentation. Optionally, videos may contain a view of the speaker’s face for increased engagement (for instance the standard Zoom recording will include a thumbnail-sized image of the speaker).

- Try to slow-down your voice speed (to 80% of your normal speech speed) for a clear audio recording. Try to make sure that the voice of the presenter must be clearly audible (no echo, static noise, music or background noise). For the best audio quality try different microphones to see which produces the highest quality with your system.

- Number your slides in the corner of each slide. This will make it easier to find individual slides in the Q&A discussion session.

To highlight/emphasize the content of your slides during the presentation, consider using the built-in “laser pointer” or “highlighter” option available with your presentation software, rather than the mouse cursor. 

4. Preparing a poster presentation

·        Prepare your 1-page poster in landscape PDF format (jpg and png are also acceptable). Suggested resolution for the poster is 1920×1080.

·        Each presentation will be assigned to one virtual board in an exhibition room on the meeting platform. Poster boards will be numbered. The poster board layout and assigned poster board numbers will be provided later.

·      Your poster must correspond to the title and content of the abstract you submitted.

·        Please display the presentation ID prominently in the title area of the poster.

·        Plan your poster to be in logical sequence, i.e. introduction, study design and methods, data collected, conclusion, etc.

·        Please note that printed papers of contributions to the transactions (or enlargements of them) do not qualify as posters, and papers presented in this way will not be accepted for publication.

·        Presentation at ICEC28-ICMC 2022 is required for a paper to be considered for peer review. For posters, the word “presented” means that an author must be present during the entire session and available for discussion. Attendance will be taken by the session chairs; if an author cannot be located, the paper written from this poster will not be considered for publication.

·        If you have more than one poster and they are not side by side, please spread your time over all poster presentations and add a note on the poster your other location(s) and the time you expect to be present.
